As a Senior Proposal Specialist at kW Engineering, you will play an important role in advancing the company’s business development efforts by developing high-quality proposals. Working closely with the Marketing Manager, leadership, and technical teams, you will lead the creation of client-focused proposals that highlight our technical expertise, unique value proposition, and commitment to sustainability. At times, proposal cycles can be fast-moving and deadline-driven; we value someone who can adapt, stay organized, and maintain energy and focus during peak periods. You will manage multiple proposal efforts from start to finish and help refine and improve the proposal development process.
This role is ideal for someone who can balance multiple priorities, work collaboratively across teams, and demonstrate excellent communication skills, attention to detail, and creativity.

Location: This position may be based in California, Utah, or Idaho.

Key Responsibilities

Opportunity Screening and Tracking
Evaluate business opportunities from solicitation emails and RFP databases; share relevant opportunities with the business development team for analysis and discussion.
Track decisions and maintain our database with current opportunity status.
Lead go/no-go discussions with cross-functional teams to assess alignment with company goals and resource availability.

Proposal Development and Management
Lead and drive the entire RFP coordination process, managing complex proposal efforts from initial receipt to timely, compliant submission.
Schedule and facilitate proposal kick-off and coordination meetings with Marketing Manager and technical leads.
Develop and maintain proposal trackers and schedules to ensure all deliverables and deadlines are met.
Manage content gathering and assignments across teams; proactively follow up to drive timely completion.
Write, edit, format, and proof proposals for compliance, clarity, and persuasive messaging; ensure visual appeal through compelling graphics, charts, and layouts.
Compile and maintain standard company information (firm description, financials, resumes, bios, project descriptions, forms) and develop content as needed.
Coordinate and develop interview and presentation materials for shortlisted proposals.

Process Improvement and Tools
Continuously evaluate and refine the RFP response process, templates, and best practices to increase efficiency and improve win rates.
Collaborate with the Marketing Manager to maintain and improve proposal development procedures, resources, and training materials that support consistency and team efficiency.
Curate and update kW’s proposal repository and marketing collateral to ensure content is accurate, on-brand, and easily accessible for future proposals.

Content Creation and Marketing Collateral Development
Create, edit, and maintain marketing materials, including brochures, presentations, and digital content.
Manage the firm’s master resume and project description processes, ensuring timely updates and customization for each opportunity.
Support engineers and project managers in creating and updating resumes, biographies, and project write-ups.

Perform other duties as needed.

What you Need
Bachelor’s degree in Communications, English, Business, Marketing, or related field (advanced degree or certification a plus).
3–5+ years of experience in proposal coordination or development of technical deliverables; experience in the AEC, sustainability, or energy industries is strongly preferred.
Possession of relevant professional certifications, such as Certified Professional Service Marketer CPSM or equivalent, is a plus.
Proven ability to manage large, complex proposals under tight deadlines.
Exceptional writing, editing, and proofreading skills with a strong sense of style and persuasive messaging.
Expertise in Microsoft Office Suite, particularly Word (styles and formatting); proficiency with Adobe InDesign, Canva, or CRM tools a plus.
Graphic design and layout skills; ability to produce visually engaging content.
Excellent organizational and time management skills; skilled at prioritizing and following up persistently.
Ability to work independently and collaborate effectively with teams throughout the proposal process.
Familiarity with energy engineering, sustainable practices, and A&E/construction industry terminology is a plus.

Work Arrangement: Flexible — this role may be offered as hybrid (office + remote) or fully remote, depending on the candidate’s experience level and proven ability to work independently.

Salary range: $70-80k Annually
*Final salary offered is based on location, skills and expertise, experience, and other relevant factors.
