Job Summary
The General Affairs Specialist will provide essential administrative and operational support to maintain a productive and efficient work environment. This role involves managing shared goods and services, assisting with expatriate support, and maintaining workplace standards. The General Affairs Specialist will also collaborate with various teams and vendors to ensure top-quality service delivery across the organization.
Key Responsibilities
Workplace Support: Contribute to maintaining a high-quality work environment through daily administrative and operational tasks.
Vendor Coordination: Support relationships with external service providers (e.g., janitorial, landscaping, and cafeteria services) to ensure a clean and organized office space.
Shared Goods Management: Manage the ordering and distribution of office supplies, consumables, and other shared goods as needed.
Expatriate Support: Assist with housing, vehicle, phone, and onboarding services for expatriates and other employees.
Administrative Tasks: Process internal approvals, invoices, vendor registrations, and route mail effectively.
Meeting & Visitor Coordination: Support visitor training, ensure availability of meeting areas, and maintain common spaces such as breakrooms and meeting rooms.
Support for Immigration and Travel: Assist with immigration-related documentation and services when required, as well as provide support for travel arrangements.
General Affairs Standards: Follow and uphold workplace organization standards (5S3R) and contribute to maintaining cleanliness and order across work areas.
Layered Process Audits: Assist with conducting periodic audits to ensure processes and procedures are being followed and workplace standards are maintained.
Perform Additional Duties as Assigned: Handle various ad-hoc administrative tasks to support the overall effectiveness of General Affairs functions.
Qualifications
Education: Bachelor’s degree or equivalent relevant experience preferred.
Experience:
General Affairs Specialist: 1 years of experience in an administrative, operational, or general affairs-related role.
Skills:
Ability to manage time effectively and handle multiple tasks.
Strong attention to detail with excellent organizational skills.
Competence in using office software (Microsoft Office Suite, particularly Excel) and administrative systems.
Good communication skills, both verbal and written.
Ability to work in a fast-paced environment and support cross-functional teams.
Knowledge of administrative processes in a manufacturing environment is a plus.
Familiarity with ERS, SAP, or other enterprise software systems is a plus.
Working Conditions
Primarily office-based role with occasional flexibility required to support operational needs.
May involve light physical activity related to organizing supplies and maintaining work areas.
