Job Summary:

The Real Estate & Permitting Administrative Assistant role will be responsible for supporting our Real-estate and Permitting team with their day to day functions.

Essential Functions:

Manage documentation and complete the real estate execution process, including mailouts, signature requests, and document recording with various counties and states.
Liaison with Development project managers, associates, legal department, accounting department and vendors including title companies, land agents, attorneys, and national county staff for land lease execution implementation, county recording, document tracking, filing, and record keeping required per governed regulations.
Responsible for daily departmental operations, procedures, organization and maintaining electronic and physical filing systems, including but not limited to management of files within company SharePoint and filing hard copies.
Database administration, tracking and management via Smartsheet.
Commissioned local Notary well versed in notarial acts for real estate transactions, preferably land lease execution and other project-related correspondence, affidavits, memorandums, amendments, and closing documentation.
Request and interact with Senior Leadership Team on signature requests as needed.
Complete direct mailings to project stakeholders and offsite development staff.
Administrative support to assist with permitting and real estate curative items.
Support special projects as needed for deadlines such as closings, permitting deadlines, county announcements mailouts, and other duties as assigned.
Experience working on purchase orders/task orders.
Familiarity with real estate terminology and contracts.
Work in a diverse environment with cross functional teams.
Ability to pivot and shift priorities to impromptu special projects and other duties as assigned.

Qualifications:

Bachelor’s degree or equivalent experience
One to Three plus years of experience
Interpersonal and diplomatic skills.
Organizational and planning skills.
Discretion/Confidentiality.
Flexibility in work responsibilities.
Meticulous attention to detail and quality of work product.
Must be professional, personable, approachable, and courteous.
Self-motivated; take initiative and anticipate issues.
Excellent verbal and written communication.

Physical Demands:

Position will require sitting for long periods of time.
Occasionally lifting twenty pounds or more.
